Dr. Ramtin Khaef
Dentist. Former assistant. Occasional front desk.
Dr. Ramtin Khaef started in dentistry as a teenager, holding the suction a little wrong as a dental assistant. Twenty-one years after becoming a dentist, he owns five dental practices in California with a team of about seventy people, most of whom know more than he does about something.
How BuzzWisely started
In the mid-2000s, he bought a dental practice in Los Angeles with nobody on the schedule. In his first days as an owner there was nobody else to make the calls, so he sat at the front desk and made them himself. It's where he learned the job that holds a practice together, and how hard it is to do well while the phone keeps ringing.
Years later, with five offices and two or three people at every front desk, his team was still missing about one call in four. Not because anyone was doing anything wrong: calls come in peaks, and nobody can check in a patient, answer an insurance question and pick up line two at the same time. When he checked the call logs, about half of the callers who reached a machine hung up without leaving a message. They called the next office.
So he and the BuzzWisely team built BuzzWisely: an AI receptionist that answers when the team can't, books the appointment, and hands the front desk a finished task instead of a voicemail. The rule in his offices is simple. The team answers first, and if nobody can pick up by the second ring, BuzzWisely does.
It's not just him
BuzzWisely is built by a whole team. And most of what it knows about dental phones, it learned from the front desks in his five offices: the people who answered the calls, made the recall lists, and told him, usually correctly, what wasn't working.
The book
He wrote Bonded: It Isn't the Composite Holding Your Dental Practice Together, a funny, team-first book for practice owners and their teams, about what really keeps a dental office running. More about the book at BuzzWisely.com/Bonded.
His writing on BuzzWisely
The dental front desk guides come from his offices' scripts, checklists and training. For the product itself, see BuzzWisely for dental offices or about BuzzWisely.
